Catering Terms and Conditions & Cancellation Policy
1. Terms and Conditions
1.1 Agreement: By booking a catering event with D Cafe, the client agrees to the terms and conditions set forth in this document.
1.2 Confirmation: A booking is considered confirmed upon receipt of a signed contract and a non-refundable deposit of 50% of the estimated total bill.
1.3 Menu Changes: All menu changes must be finalized no later than 14 days prior to the event date.
1.4 Guest Count: The final guest count must be provided no later than 10 days before the event. If the final guest count decreases by more than 10% after this date, the client is still responsible for the original number given.
1.5 Additional Services: Services or items not included in the initial contract that are requested on the day of the event will be billed separately.
1.6 Dietary Requirements: It is the client's responsibility to inform D Cafe of any dietary requirements or allergies when booking. D Cafe will make every effort to accommodate requests but cannot guarantee the absence of allergens.
1.7 Beverages: If alcoholic beverages are to be served on the caterer's premises or at a location requiring a permit, the client will secure and provide the permit.
1.8 Equipment: Any damages to equipment, dishes, or linens provided by D Cafe during the event will be billed to the client.
1.9 Liability: D Cafe maintains the necessary insurance and permits but is not responsible for any damage or injury caused by the actions of the client or their guests.
2. Cancellation Policy
2.1 Deposits: The initial deposit is non-refundable.
2.2 Cancellation by the Client: If the client cancels the event:

More than 30 days before the event: The client is responsible for 25% of the estimated bill (initial deposit).

14 to 30 days before the event: The client is responsible for 50% of the estimated bill.

Less than 14 days before the event: The client is responsible for 100% of the estimated bill.
2.3 Cancellation by D Cafe: If D Cafe must cancel the booking due to unforeseen circumstances, all payments, including the initial deposit, will be refunded in full.
2.4 Force Majeure: Neither party shall be liable for any failure to perform due to causes beyond its reasonable control, including but not limited to acts of God, war, acts or threats of terrorism, infectious disease outbreaks, government mandates, or natural disasters. Both parties will work together to reschedule the event, if possible.
3. Payments
3.1 Payment Schedule: After the initial deposit, the remaining balance is due 14 days before the event. The final balance is due 7 days post-event, along with charges for any additional services or items.
3.2 Late Payments: Payments not received within the agreed time frame will incur a late fee of 10% of the outstanding balance every 7 days.
